FERGUS COUNTY ROAD & BRIDGE DEPT. Office Clerk-Fairgrounds in LEWISTOWN, Montana

Full time, permanent, year-round position

WAGE: $16.50/hr with county benefits included.

DUTIES:

The Office Clerk in the Fairgrounds Office performs a variety of administrative, clerical, technical, and physical support to the programs, events, and services of the Fergus County Fairgrounds; may require assisting the Facilities Director with maintenance of the facilities, and meeting the needs of events at the Fairgrounds. This is a full-time, permanent, non-exempt position, normally working 8 hours per day, Monday through Friday but will require some weekends and longer shifts, as staffing and events require.

  1. Assists with cashiering, sales, bookkeeping, accounts payable and receivable, following cash management controls and procedures, reconciliations, filing, developing financial reports, inventory control, sponsorships, and annual budget.

  2. Perform routine clerical and administrative work answering phones, referring messages, receiving the public, providing customer service, entering data and word processing in accordance with standard operational procedures in support of department functions and objectives.

  3. Assists with coordinating events, both in house and contracted.

  4. Maintain calendars, contracts, and documents pertaining to the office and events.

  5. Assists with scheduling, setup and implementation of special projects and events.

  6. Identifies vendor sources and contacts vendors to obtain price and product information.

  7. Assists with all elements of production and coordination for the Fair.

  8. Assists with event preparation and coordination including rooms, equipment, and personnel.

  9. Performs routine janitorial duties as requested in the Trade Center. May be asked to perform janitorial duties in other facilities.

  10. Assists with updating the social media page(s), the marquee, and other publications as necessary.

  11. Assists with maintaining the security of buildings and grounds, pursuant to Fairgrounds? procedures.

  12. May answer a variety of routine and semi-technical questions related to the organization?s functions, procedures, regulations, and programs of the agency after determining that information may be given. As well as, assist with use of rooms and equipment on the Fairgrounds property.

  13. Performs a variety of other duties which may include ordering supplies, setting up tables and chairs, and any other arrangements required to support successful events.

  14. Provides positive and effective customer service under multiple circumstances and adverse conditions.

  15. Maintains prompt and regular attendance during scheduled work hours. And, is flexible when necessary to accommodate events, projects, and the annual Fair.

KNOWLEDGE, SKILLS AND ABILITIES::

  1. Frequently required to sit, stand, walk, reach, feel, see, talk, and hear.

  2. Must occasionally lift and/or move up to 50 pounds without coworker assistance.

  3. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

  4. Duties are generally performed in an indoor environment and occasionally in an outdoor environment. While indoor environments allow hazards and discomforts to be controlled and modified, outdoor environments involve varying weather conditions and areas with loud noise.

  5. Occasionally will be required to climb on ladders, and walk over uneven terrain.

  6. Required to squat, stoop, bend, and kneel to access records and files..

  7. May be exposed to equipment where the risk of getting burned, bruised, or scraped exists. May be exposed to environmental allergens such as grass, weeds, and pollens.

  8. May come in contact with oil and petroleum products. Exposure to solvents, pesticides and herbicides. Exposure to gases and fumes. Exposure to cleaning products.

  9. Exposure to farm and domestic animals.

QUALIFICATIONS:

The job requires educa ion and experience equivalent to graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing and other basic office duties.
