ROLE AND RESPONSIBILITIES

This position provides administrative support and functional oversite to the Safety Department. This role requires a high degree of accuracy and confidentiality while administering safety department processes, including maintaining information systems and reporting tools. This role will interact with various levels within the organization including management, employees, external applicants, and vendors.

RESPONSIBILITIES

General Administration:

•Assist Safety Director with various administrative duties.

•Assist Director of Risk Management with various administrative duties.

•Monitor and maintain safety prequalification websites.

•Run weekly/monthly reports.

•Administer system for tracking hours, injuries, safety incidents, activities, and regulatory compliance records.

•Compile, track and mail legal/compliance notices.

•Create initial draft of site safety plans

•Set up clinics for new job site locations.

•Make recommendations for system and process improvement.

•Field general inquiry calls from employees, candidates, vendors, and agencies.

•Complete special projects and duties assigned by the Safety Department and Risk Management.

Worker’s Compensation and Claims Management:

•Assist in the processing of workers compensation, liability, and auto claims.

•Create and maintain claim files.

•Serves as the contact for insurance adjustors.

•Obtain and assign light duty assignments as appropriate.

Drug Testing Program Administration:

•Administer drug testing protocols.

•Maintain PMSHA and FMCSA drug testing protocols.

•Responsible for follow-up with tested participants.

Fleet Safety:

•Maintain driver qualification files.

•Administer Motorist Observation Report (MOR).

•Report and support auto claims.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

•High school diploma or equivalent with a minimum of 3 years of relevant experience in a safety or workers’ compensation role, or an undergraduate degree in related field with 1 plus years of business experience in an administrative role.

•Intermediate skills in MS Word and Excel with the desire & ability to learn internal software system.

•Excellent planning, organizational, and time management skills.

•Ability to prioritize and manage multiple responsibilities while meeting deadlines.

•Ability to maintain a high level of confidentiality.

•Strong attention to detail, ability to prioritize, and meet deadlines.

•Strong oral and written communication skills with ability to communicate with individuals from a variety of backgrounds.

•Safety experience within the electrical industry preferred.

•Demonstrates industry knowledge and independent judgment to make decisions.

•Presumed to know 80% of what they need on a daily basis, with the ability to research the balance for unique situations.

PHYSICAL REQUIREMENTS

•This job operates in a professional office environment.

•This role routinely uses standard office equipment such as computers, phones, filing cabinets, photocopiers, and fax machines.

•Employees are frequently required to sit, and occasionally required to kneel, reach, stoop, crouch, or crawl.

•This position requires the ability to lift files, open file cabinets, and bend or stand as necessary. This position may occasionally lift up to 20 lbs.
