JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Donor and Member Services (DMS) office within the Division of Development and Alumni Relations seeks to hire an Advancement Services Specialist . The Advancement Services Specialist strategically assists the office of Donor and Member Services within University Development (DDAR). The position is responsible for depositing cash payments into university accounts, applying monies to the appropriate allocations , reconciling accounts for accurate balances, and modifying donor and member records when necessary.
Specific duties and responsibilities may include:
Administer the following activities for multiple methods of payment (Cash, Check, Credit Card, Electronic Funds Transfer (EFT), Wire Transfer, Automated Clearinghouse (ACH), and payroll deductions.
Monitor and reconcile the University Gifts Account to ensure receipts are recorded accurately.
Administer chargeback, refund, and void processes.
Review and analyze modifications requests and initiate necessary changes to charitable contributions, pledge commitments, and Alumni Association memberships.
Collect, scan, retain , and index all necessary documentation associated with gift or membership for auditing purposes .
Interpret, communicate, and resolve issues related to tax law, specifically
The University's tax-exempt status under Section 115 of the IRC and the tax-exempt status of the Philanthropic Fund as a 501(c)(3) organization
The impact to individual pledge commitments and payments from Donor-Advised Funds and private foundation .
Build and manage relationships with multiple departments both external and internal to Penn State
Corporate Employer Matching Gift Program contacts
Student Financial Services for gift transfers related to the monthly endowment buy-out/buy-in process
DDAR staff, Controller's Office, Commonwealth Campus DDAR staff
Receive, review, verify, and facilitate receipt and processing of
Charitable contributions for more than 500 matching gift programs nationwide.
Charitable contributions submitted electronically from campus and college locations
Agreements with University Contracts office
Corporate acknowledgement forms
Execute the following activities related to pledges
Manage the monthly reminder process for major pledge commitments
Review executed pledge agreements for accuracy and funding source.
Enter major pledge commitments and terms/schedules in the University's gift system.
Analyze and review donor pledge commitments concerning balances, payments, and adjustments
Act as a primary point of contact via email, phone, letter correspondence to donors, Alumni Association members, and internal teams for:
Processing of charitable contributions
Alumni Association memberships
Specialized subjects related to donor contributions and records
Matching gifts
Responsible for the following related to systems, processes, and data quality:
Discrepancies and issue resolution of complex accounting related issues
Training of newly hired staff as well as peer-training
Resolution of data integrity issues
Input and extraction of data from various systems
Support for planning, testing, and implementation of new processes
Assist with audit requests
Miscellaneous requests as needed
Attention to detail, problem solving skills, confidence and proficiency with a variety of software platforms, strong time management, and the ability to follow standard procedures are required . Positive attitudes and individuals who work well in a team environment are encouraged to apply.
This position requires 4+ years related experience and a Associate's Degree or higher, or an equivalent combination of education and experience. Due to the financial and fiduciary responsibilities of this position, successful completion of a credit history check will be required in addition to standard background checks.

The salary range for this position, including all possible grades is:
$42,100.00 - $61,000.00
